How client papers and enquiry notes are kept

Cortex Quarryway Financial Planning is the data controller for personal information collected through this website and through budget sittings. The practice was established in 2015. What is collected

The sitting form collects your name, email address, chosen engagement, an optional preferred date, an optional note of where the books are kept, and the message you write. At a sitting the practice may record business figures, staff names connected to cash handling, supplier names, wage amounts, and the client’s decisions about ceilings. Please do not send national identity numbers, bank passwords, or medical records through the form. If a wage list includes personal details, bring it to the sitting rather than pasting it into the message.

Why it is used

Enquiry details are used to answer you, to prepare a fee note, and to arrange a sitting. Working papers are used to write the budget book, cash calendar, house rules, or monthly note you commissioned. The practice relies on the steps needed to perform that engagement, and on the legitimate work of keeping a professional record of advice the client may need to revisit. Consent is used for the cookie choice described on the cookie note, and for any client story published under the owner’s name.

Who sees it

Laksana Chuenchit and Arif Waedueramae see the papers of the engagements they work on. A bookkeeper, spouse, or partner sees them only when the client brings that person or asks the office to send a copy. The practice does not sell lists and does not share figures with other businesses in the district for their own marketing.

If a host, email service, or backup keeps a copy of an enquiry in order to deliver it to the Paluru office, that processing is limited to carriage and storage of the message. Where such a provider holds data outside Thailand, the transfer is only the minimum needed for the message to arrive, and the practice asks the provider to protect it. The practice does not place client ledgers on an open shared drive.

Retention

Enquiry messages that do not become an engagement are kept for up to twenty-four months and then destroyed. Fee notes, budget books, cash calendars, house-rule sheets, and monthly sitting notes are kept for six years, because owners often compare a later year with an earlier ceiling and because a fee dispute may arise. After six years the cabinet copy is destroyed unless Thai law requires a longer hold. Cookie choices stored in the browser stay until they expire or you clear them, as described in the cookie note.

Your rights

Under Thailand’s Personal Data Protection Act you may ask to see the personal information the practice holds about you, ask for a correction, ask for deletion when the engagement no longer requires the papers, object to a use that is not required for the sitting, and ask for a copy in a common format where that is reasonable. The office may need to confirm that the requester is the client or an authorised person before releasing a wage list or a budget book. A request can be sent to info@cortex-quarryway.click. The practice answers within thirty days.

You may also complain to the Personal Data Protection Committee in Thailand if you believe the practice has handled your information unlawfully. The office would prefer to hear the concern first, at the address above, and to correct a record that is wrong.

Security

Paper books are kept in the cabinet at the Paluru office. The room is locked when the planners are not there. Email enquiries are read on the practice’s own accounts. No method of storage is free of risk; the practice limits who holds a key and does not leave client folders in the meeting room overnight.

Changes

If this notice changes, the updated page will show the new wording. An existing client’s papers remain under the notice that applied when the engagement started, unless a legal duty requires otherwise.
